Welcome to Herbody Wellness Clinic . By booking an appointment, purchasing a product, or using our website or services, you agree to the following Terms and Conditions. Please read them carefully before proceeding.

1. General Information

Herbody Wellness Clinic provides non-surgical aesthetic and wellness treatments tailored to individual needs. All services are carried out by qualified practitioners using medical-grade equipment and professional-only products.

We reserve the right to modify, update, or change these Terms & Conditions at any time. The most recent version will always be available on our website.

2. Bookings & Deposits

  • A non-refundable deposit is required to secure all appointments. This amount is deducted from your total treatment cost.
  • Deposits may vary depending on the treatment or personalised plan booked.
  • Appointments are confirmed only once your deposit has been received.
  • Clients booking packages or prepaid personalised treatment plans must complete all sessions within the recommended time frame to ensure optimal results.

3. Cancellation & Rescheduling Policy

At Herbody Wellness Clinic, we value your time and strive to deliver exceptional care to every client. Our personalised treatment plans are designed for consistent, progressive results, and adhering to your scheduled appointments is key to achieving them.

  • Minimum notice: A minimum of 48 hours’ notice is required to cancel or reschedule an appointment.
  • Same-day changes: Rescheduling or cancelling within 24 hours of your appointment may result in forfeiture of your deposit or one treatment from your plan, unless compassionate circumstances apply (at management’s discretion).
  • No-shows: Failing to attend an appointment without notice will result in forfeiture of your deposit and may require full prepayment for future bookings.
  • Prepaid personalised plans: Missed or late-cancelled sessions will be deducted from the total number of treatments.
  • Late arrivals: If you are more than 10 minutes late, your appointment time may be shortened or rescheduled to avoid impacting other clients.
  • Clinic cancellations: In rare cases where we must reschedule your appointment, we will provide as much notice as possible and offer the next available time.

This policy ensures fairness to all clients and allows us to maintain smooth operations and high-quality service.

4. Personal Hygiene Policy

To maintain a clean, comfortable, and professional environment, we kindly request that all clients arrive with excellent personal hygiene, particularly for treatments involving sensitive or intimate areas.

We reserve the right to decline treatment if hygiene standards are not met, as this can affect both your results and our staff’s ability to perform procedures safely.

5. Treatment Suitability & Results

  • All treatments are subject to a consultation and suitability assessment. We reserve the right to refuse treatment if it is deemed unsuitable or unsafe.
  • Individual results may vary based on age, lifestyle, health, and adherence to pre- and post-treatment advice.
  • No treatment can guarantee specific results. Herbody Wellness Clinic makes no expressed or implied guarantees regarding outcomes.
  • It is the client’s responsibility to provide accurate and complete medical information before each session.

Failure to disclose relevant health information such as medications, allergies, or medical conditions may result in cancellation or termination of services. Herbody Wellness Clinic will not be held liable for any adverse effects arising from undisclosed information.

6. Payment & Refunds

  • Payment for treatments and products is required in full at the time of service, unless otherwise arranged.
  • Prepaid personalised treatment plans and deposits are non-refundable but may be transferred to another treatment or client with management approval.
  • Refunds are not offered for completed treatments or change of mind.
  • In the rare event of a medical contraindication or proven device malfunction, a partial credit or alternative solution may be considered at management’s discretion.

7. Gift Vouchers & Promotions

  • Gift vouchers are valid for 12 months from the date of purchase unless stated otherwise.
  • Expired vouchers cannot be redeemed.
  • Vouchers and promotional offers cannot be used in conjunction with any other discounts or specials.
  • Lost or stolen vouchers cannot be replaced.

8. Late Arrivals

Please arrive on time for your appointment. Late arrivals may result in a reduced treatment duration or rescheduling to ensure fairness to subsequent clients. The full treatment cost will still apply.

9. Health & Safety

  • Clients must follow all pre- and post-treatment advice provided by our practitioners.
  • Herbody Wellness Clinic operates in accordance with NSW Health regulations and infection control standards.
  • Any adverse reaction or concern should be reported to the clinic immediately.

10. Confidentiality & Privacy

We respect your privacy. All personal and medical information collected during consultations or treatments is stored securely and used solely for providing our services.

11. Liability Disclaimer

Herbody Wellness Clinic and its practitioners accept no liability for loss, damage, or injury resulting from:

  • Failure to follow pre- or post-treatment instructions
  • Withholding or providing inaccurate health information
  • Reactions to products or treatments not performed by us
  • Use of external products not purchased or recommended by the clinic

All treatments are performed with professional care and in accordance with industry best practices. By proceeding with treatment, you acknowledge and accept these terms.

12. Right to Refuse Service

Herbody Wellness Clinic reserves the right to refuse service to any individual demonstrating inappropriate, aggressive, or unsafe behaviour, or to anyone deemed medically unsuitable for treatment.

13. Intellectual Property

All website content, including text, images, videos, and graphics, are the property of Herbody Wellness Clinic and may not be reproduced, distributed, or copied without written consent.
